Non-Group Reservations: Cancellations can be made up to 14 days prior to your arrival date for a full refund, minus a cancellation fee of 7%. If you cancel within 14 days of your arrival, no refunds will be made. You may make changes to your reservation, including switching dates and reducing the number of tents, up to 7 days before your arrival (by 11am PT) for no charge. Within 7 days, no changes to the reservation are allowed. 

Group Reservations (10 tents or more): You must cancel 60 days in advance of your reservation date for a full refund, minus a cancellation fee of 10%.

Rules & regulations

Quiet Hours: Our most important policy: All tents are 10-15 feet apart and we strictly enforce quiet hours from 10p-8a. Sounds carry easily inside of our canvas tents. We do not allow music to be played live or via speakers at any hour of the day. Please do not book with us if you are seeking a destination for a noisy party or cannot whisper during these hours.

Noise Complaint Fees: Guests receiving multiple warnings will be asked to seek alternative accommodations by our Camp Host at any hour without a refund, will be prevented from booking future stays, and may be charged as much as $500 as a noise disturbance fee.

Property Location & Road Proximity: Wildhaven is located on a popular road into the Alexander Valley wine-growing region. You will likely hear occasional road noise, even during the night, and more frequently in the Sep & Oct wine-harvest season. You might hear nearby guests as well. We encourage you to use the ear plugs provided in each tent if you are a light sleeper.

COVID Safety Policy: We follow these safety measures to ensure that your stay with us is as safe as possible:

  • We use a simple, digital-focused check-in/check-out process that removes all cash transactions and minimizes paper and face-to-face interactions.

  • Tents are thoroughly sanitized between guests using antibacterial measures designed to kill viruses, including high-touch surfaces such as lights, tables, handles, and zippers. Common areas (e.g. restrooms, showers, and BBQs) receive the same protective treatment.

  • All linens and towels are washed and sanitized by a hotel-grade linen service.

  • Wildhaven staff are monitored for COVID-19 and are not allowed to work if presenting any symptoms.

  • Wildhaven guests must wear masks in our shared bathroom and store building according to CDC guidelines, but not in any outdoor spaces.

  • COVID Risk Acknowledgement: By entering our property, you voluntarily accept any risk of exposure to or infection by COVID-19 and waive any right to claim against the business, its staff, or owners, for any reason.

Check-in & Check-out: Your tent cabin will be ready for check-in from 3pm to 7pm. If arriving after 7, please add a note during booking or inform us as soon as you know by calling or emailing us. We will send after-hours instructions. Please check out by 11am to allow our staff ample time to clean your tent for subsequent guests.

Fire Safety: Guests will be staying in a high fire-risk area and must strictly follow these requirements:

  • Fires in Wildhaven fire pits only that cannot be moved. Keep fires under 2 feet tall.

  • Only burn firewood. Do not burn plastic, metal, or garbage and do not leave trash in fire pits.

  • An adult must monitor fire at all times and thoroughly extinguish with water. Buckets provided in rear of communal kitchen/BBQ area. Unattended fires will be extinguished.

  • No open flames, smoking, gas stoves, candles, or incense burning allowed inside any tent or on the tent platform.

  • All county & Wildhaven fire restrictions must be obeyed, incl. no-burn days due to high fire risk. No fireworks.

  • If your tent has a heater, 1) keep it 3 feet from other objects, 2) turn off whenever the tent is unoccupied, 3) keep away from children or pets who may knock it over, and 4) never attempt to dry clothes on or near the heater.

Dog Policy: Dogs must meet the following requirements and will be charged a $30 fee (per pet, per night, 2 max):

  • Dogs must be well-behaved & quiet (this includes puppies) with no history of aggressive behavior, always kept on leash, and never left alone.

  • Dogs are never allowed on the beds or cots. You may be automatically charged up to a $100 cleaning fee if pet hair is found on linens.

  • Dog waste must be cleaned up, and disposed of, immediately.

  • Wildhaven reserves the right to ask dogs (and their owners) to leave without a refund if owners cannot abide by these rules, and to call Animal Control to remove a disruptive pet.

  • Dog owners will be sent photos of any damaged linens, furnishings, or other tent materials that result from their dog's behavior and will be automatically charged for extra cleaning, repairs, and item replacement.

  • Wildhaven is not responsible for, and will hold pet owner accountable for, any injury or damage caused by their dog.

Rates: Rates and policies are subject to change and vary during high-impact periods.

Refunds: There are absolutely no refunds due to problems or failures beyond our control, including inclement weather (such as rain or cold temperatures), traffic, and road conditions.

Monitoring Your Children's Behavior: Children love exploring our property and river, but must be kept under constant adult supervision (especially at the riverfront area) during their stay to ensure the privacy of other guests and their own safety. Wildhaven's property has hazards including vehicle traffic, steep slopes, poison oak & other plants, property improvements, and elevated tent platforms. Children must be monitored closely so they do not cause damage to the canvas, zippers, ropes, or other furnishings. Parents who cannot control their children's behavior and jeopardize their child's safety or the enjoyment or safety of other guests will have their reservations canceled.

Child Fees: We charge a $30/night fee per child, for all tent cabins excluding our 2 Queen & Bunk Bed tents (no fee). This fee is automatically applied when you add Children to your reservation during the online booking, and a cot is placed inside the tent (up to 2 cots). IMPORTANT: You must bring your own sleeping bag or full linens for these cots. We provide a pillow & case, and towels only. You can always add children before arrival by calling us and inquiring about the availability of our cots.

Tent Capacity: Please do not exceed the stated maximum capacity of your tent cabin: Tent with 1 queen= 2 adults and up to 2 children sleeping in cots (some exceptions may apply for children under 2 sharing the bed); Tent with 2 queens= 4 people max unless 5th occupant is child sharing 1 of 2 beds; Bunk Bed Tents=2 adults & 4 children. Guests who add additional guests and violate our fire code will be charged for our highest-capacity tent. Sleeping cots are for children under 18 only.

Electricity: Individual tent cabins have a limited electrical capacity, enough for powering low-voltage LED lights and charging your phones, laptops/tablets, and CPAP machines. Please do not plug in large devices or appliances, including hair dryers and rice cookers, as they will cause the system to fail, possibly shutting down power for your neighboring tents.

Smoking: Wildhaven Sonoma is a non-smoking property due to our high fire risk. Guests who smoke in tents or on tent platforms will be automatically charged a minimum $300 cleaning fee to properly remove, clean, and replace all furnishings and tent materials (especially our high-grade mold-resistant canvas) and will be prevented from booking a future stay. Smoking includes cigarettes, cigars, cannabis, and e-cigarettes.

Prohibited Items: Kindly do not arrive with guests not staying overnight in your tent, your own tents, RV or trailer, large canopy tents (except for river usage), rice cookers, air mattresses or cots, amplified sound devices, drones, noisy motorized toys or vehicles (e.g., small dirt bikes and scooters), or any noisy equipment that will disturb the enjoyment of other guests. No firearms allowed on Wildhaven property.

Damages & Missing Items: Please be careful with your tent and furnishings during your stay. Damages beyond normal wear-and-tear or missing items will be automatically charged to the card on file with the reservation. Stolen or lost furnishings will be charged at 50% higher than our cost to acquire and assemble.

Environmental Conservation: If you're planning to spend time outdoors during your stay, please join us in practicing the Sonoma County Leave No Trace Principles. These helpful Know Before You Go tips will ensure that you have a good time and help protect the outdoors during your visit.

Guest Property: Wildhaven is not responsible for loss, damage, or claims to property of guests due to fire, theft, accident or any other cause. Guests are encouraged to lock valuables in their cars during their stays.

Guest Responsibility: All guests staying at Wildhaven expressly acknowledge that their presence on our property, and any participation in any activities offered by or allowed at Wildhaven (including kayaking and/or bike-riding), or participation in activities adjacent to Wildhaven's property (including the Russian River, which is not Wildhaven property), comes with inherent risks of injury to persons and property and each guest voluntarily accepts and assumes full responsibility for such risks, both known and unknown, and further agrees to defend, indemnify and hold harmless Wildhaven against any and all claims, suits, actions of any kind whatsoever, for liability, injury, damages, compensation or otherwise, brought by or on behalf of said guest.
